The Opportunity:  

Frequence is looking for a highly motivated and organized People Experience Coordinator to help drive engagement and deliver an exceptional employee experience for in-office and remote teams. Reporting to the Head of People, and working directly with the CEO, the People Experience Coordinator plays a critical role in managing the company’s daily business operations and proactively creating a welcoming and productive work environment for our team members and guests.  You will manage the day-to-day office operations and general administrative support of our Mountain View office, and you will be a key culture carrier serving as a central figure in our ongoing goal to attract, engage, and retain a talented team of passionate people. Even while navigating the ongoing pandemic, our culture is strong, our team is connected and we are looking for a self-starter to join our growing People Team. 

What You Will Do: 

  • People Processes and Operations:
    • Support the delivery of a world-class new hire and onboarding experience
    • Communicate company/office policies and procedures 
    • Maintain and enhance organizational systems for administrative work, shipping & receiving packages, storage, guest coordination, and regulatory compliance
    • Manage office Inbound/Outbound mail, invoice filling, and additional clerical work
  • Culture and Special Events:
    • Serve as an ambassador of the company and promote the company’s culture, mission, and values
    • Lead and support the implementation of diverse and inclusive culture programs, events, and activities driving employee engagement 
    • Support employee recognition and rewards programs
    • Facilitate office special guest visits
  • Own Our Team Environment:
    • Hands-on management for the office and all facilities 
    • Manage the “return to office” planning processes, inclusive of managing and administering all city and state compliance initiatives related to Covid-19/ “returning-to-office” protocols
    • Ensure the Day-to-Day of the office runs smoothly
    • Be the go-to person for office support making sure that the team has what they need to be productive; equipment is working, supplies are in stock, and deliveries are received
    • Ensure that the office is clean, organized, comfortable to work in, and presentable at all times
    • Welcome clients and visitors, and see them off when they leave
  • Vendor Management:
    • Build relationships and manage outside vendors including janitorial, handyperson, landscaping, IT support, catering, and others
Who You Are: 
  • Minimum of 3+ years full-time experience in office administration, HR, or an operations role.
  • Verifiable track record of high-performance work at all previous positions
  • Self-directed, motivated, resourceful, and a strong sense of ownership
  • Excellent communication and interpersonal skills
  • Ability to tackle both large and small tasks (no task is too small)
  • Strong computer literacy; familiar with Google Suite
